NEW APPLICANTS 1) Your sponsor will request a Preliminary Application of the Membership Chairman or Secretary and give or send it to you to fill out and return to the Membership Chairman, type in the required information, and mail it to the Membership Chairman at P.O. Box 9715, Cincinnati, OH 45209-0715. He will see that your Preliminary Application is brought before the next meeting of the State Council. 2) If the Council approves your Preliminary Application (the Council may send it to the Genealogist for approval of the eligibility of your qualifying ancestor if the qualifying ancestor is unknown to the members of the Council), the following will occur: a) The Secretary will mail you 2 copies of the Final Application form, to the address provided on your Preliminary Application. b) Your sponsor will be notified. c) The Council will assign you to a status of "New Applicant" which you may hold for up to one year while you are preparing your Final Application. This will entitle you to receive all Ohio Society Mailings, and invitations for the duration of your 'New Applicant' period. d) The Council will assign one of its members to assist you and your sponsor with the preparation of your lineage. Professional Genealogical assistance is available if you so desire. 3) When completed by you, BOTH copies of your Application for Membership are to be returned to the Secretary of the State Society at P.O. Box 9715, Cincinnati, OH 45209-0715. The Secretary will then notify the Council at the next scheduled meeting that we have received your paperwork and then will forward both copies to the Genealogist for approval of your lineage. 4) Upon approval by the Genealogist, The Genealogist then returns both copies to the Secretary who assigns an Ohio Membership number and notifies the council that your paperwork is complete. 5) Next the Secretary forwards one copy to the Registrar General for the General Society for their review, and assignment of a General Society Number. 6) Upon receiving approval from the General Society and your General Society Number the Secretary will; a) Update the Ohio Copy with the General Society Number b) Update your status to Active Member, and c) See that the Ohio Copy is placed in the Ohio Society Vault. TRANSFER APPLICANTS 1. All requests for transfer will be directed to the Membership Chairman or Secretary at P.O. Box 9715, Cincinnati, OH 45209-0715. The Secretary will respond with a letter stating the following: a. Ohio Society is happy to receive transfer applicants, b. The requirements for a transfer applicant; i. A signed copy of his Application ( including General Society Number), as proof of membership ii. A letter from an Officer of the State Society he is transferring from, stating that he is a member in good standing. 2. At the next scheduled Ohio Society Council Meeting the Secretary will notify the Council of the transfer request. And the following will occur: a. The Council will assign you to a status of "New Applicant" which you may hold for up to one year while you are obtaining your paperwork. b) The Council will assign one of its members to assist you. 3. Upon receiving the required paperwork, the Secretary will then; a) Notify the Council at the next scheduled meeting that we have received your paperwork b) Assign an Ohio Society number, c) Update your status to Active Member, and d) See that the Ohio Copy is placed in the Ohio Society Vault. Checklist for the preparation of Membership Application Papers The primary concern of a society with strict genealogical requirements for membership must be the preservation for posterity of family so your observance of the following requirements will be deeply appreciated and of mutual benefit, 1. Please be sure that TWO original typewritten copies of the final application are submitted. 2. Full names are to be given on first use and where a name is repeated initials may be used. 3. In every generation, beginning with and including that of the applicant references are required for all statements as to names, dates and places. YOU MUST INCLUDE THESE DOCUMENTRY PROOFS, OR PHOTOSTAT OR CERTIFIED COPIES THEREOF, WITH THE SUBMITTAL OF YOUR LINEAGE. 4. The previous application of a father, grandfather, brother, uncle, cousin or any other male relative may not be used as a reference in itself, although any pertinent references to recognized authorities appearing thereon may be cited. The same rule applies to lineage papers of any relatives who are, or have been, members of other hereditary organizations. 5. References must be: a. To recognized published authorities, with title, volume and page number cited, & and/or b. To privately printed family histories, wills, deeds, "family" bible entries, tombstone inscriptions, newspapers or other periodical notices, census returns, birth, death, marriage or baptismal records from civil or church sources, etc. In the case of all except published authorities, again duplicate Photostats or certified copies must be submitted.
